Reports are not essays

The most frequent structural error is submitting an essay against a report brief. Reports use numbered headings, a stated purpose, findings separated from discussion, and conclusions that follow visibly from the evidence presented. If the brief says report, the format itself carries marks.

An executive summary is not an introduction. It summarises the whole report including the findings and recommendations, and should make sense read alone. An opening paragraph explaining what the report will go on to do is an introduction in the wrong place.

Check whether the summary, references and appendices count toward the word limit. Different departments differ, and over-length penalties are applied mechanically.

Evidence, figures and appendices

Findings sections should present evidence cleanly — tables and figures numbered, captioned and referenced in the text at the point they are relevant. A figure the text never mentions is decoration and is marked as such.

Appendices hold supporting material: raw data, full transcripts, extended output. Anything the argument depends on belongs in the body, because markers are often not obliged to read appendices.

Recommendations should be traceable to specific findings. Numbering them and referencing the finding each derives from makes that link explicit and is easy marks.

Register, formatting and the final check

Report register is concise and impersonal in most disciplines, though reflective reports are an explicit exception where first person is expected. Match the convention your module specifies rather than defaulting to one.

Consistent formatting is assessed more often than students expect: heading hierarchy, font, spacing, caption placement and reference style all appear in presentation criteria.
